Choose your next business system with confidence.
An independent evaluation, guided by someone with no software to sell.
Why system decisions go wrong
The vendor writes your requirements
Every vendor runs a discovery for you. Every one concludes you need their product.
The workarounds stay invisible
What actually keeps the business running was never written down. It surfaces in week six of a cutover.
Nobody names the trade
Some of how you work should conform to standard practice. Some of it is why customers choose you.
Who writes the requirements?
What they left out surfaces after you have signed.
What is missing surfaces while you can still do something about it.
organizations ran over budget on their enterprise software project. The leading cause was additional technology they turned out to need — capability the system they chose did not cover.
What it looks like when the call goes well
- Leadership decides once, and the decision holds.
- The team can say why this system and not that one.
- What makes you different survives the cutover.
- Month three is operations, not firefighting.
None of that comes from picking better software. It comes from knowing what you are choosing against — before anyone shows you a demo.
How a Fit Finder works
Three stages. You own the decision at every one.
Discovery
We interview the people doing the work, not only leadership. The workarounds live with them.
Requirements
What the business actually needs, written in your language. Not a vendor feature list.
Decision
Vendors are briefed to demonstrate against your scenarios rather than run their standard script. Your team scores what it sees.
Three levels
The discovery is the same in all three. What changes is how far it is carried with you.
Direction
“We know what the business needs, and what we are choosing against.”
Discovery with the people doing the work, requirements in your language, and the trade-offs named.
If you will run your own vendor process.
Decision
“We have a choice we made on evidence, and can stand behind.”
An independent market scan, briefed demonstrations, and scoring your team does itself.
If you want the evaluation worked through with you.
Readiness
“We have the decision, the terms, and a team that knows its part.”
References, five-year cost, contract leverage, and your own side of the table settled.
If you know the risk does not end at the signature.
The step up to Readiness is the smallest on the ladder — and the only one that reaches past the day you sign.
Not sure which one is yours? Most people are not. Which level fits depends on how many sites, domains and stakeholders the decision touches — which is what the first call is for.
Work it out on a call →the cost reduction available when you negotiate with two viable alternatives instead of one. Keeping a second option genuinely live is work, and it happens before the contract, not after.
When the decision spans the business
Above roughly $100,000 of application spend — ERP, HRIS, enterprise CRM — you are no longer choosing one system. You are choosing how the business runs.
Where you stand
Current state across applications, process and data. A roadmap against your priorities, and a ballpark of the cost before anyone commits to it.
Direction
Future-state scope. Requirements and evaluation criteria written in your language, with the trade-offs named.
Decision
Market scan, scripted demonstrations, scoring your team does itself, and what each candidate really costs across its life.
Readiness
Contract terms, governance, and your own side of the table settled before the vendor arrives.
Every stage ends at a gate. You can stop at any one of them and still own everything gathered so far.
Find out which level fits, before you spend anything.
Nothing to lose. The call is free, and if the work finds nothing worth acting on, there is no fee.
The test is whether the decision holds
Three evaluations. The measure is not how the demo went — it is what the business is running years later.
A multi-state operator where each location had solved the same problems a different way. The work began by separating the differences worth protecting from the ones that were only history.
Still on the system they chose.
A core platform search for a business that could not afford to get the decision wrong twice.
Still on the system they chose.
They came to us certain they needed an inventory management system. They left knowing they needed maintenance management, with inventory tracking as one part of it.
A different category of software entirely. That is what the first level is for.
A system you are still glad about in year seven was chosen well in year one.
Common questions
What is a Fit Finder?
An independent evaluation that helps you choose a business system. We map how the work actually runs, write the requirements in your language, and take you through vendor selection without selling you anything. You keep the record and the reasoning.
Can’t we run our own software search?
You probably can. Running the search was never the hard part.
The hard part is knowing what you are comparing options against, and that lives in the workarounds nobody documented. None of it appears in a demo. It appears in week six of a cutover, after the contract is signed.
Is project management included?
No. A Fit Finder ends when the decision is made and your side is ready.
Oversight once the vendor starts is a separate engagement — Systems Oversight — and we are glad to talk about it.
Why does the evaluation have to happen first? We know what we want.
Often you do, and the evaluation confirms it in a form your team and your lenders can read.
What it more often surfaces is the work nobody listed — the report someone built, the step that happens on Fridays because one person knows to do it. Those do not stop mattering because they went unmentioned. They just become someone’s problem later.
How do you work with the vendors?
Not adversarially. A vendor who understands your situation gives a better demonstration, so we brief them properly and hold them to your scenarios instead of their standard script.
You end up seeing the part of each product that actually applies to you — which is also how a poor fit becomes obvious early, rather than after you have bought it.
Do you sell or implement software?
No. We resell no software, run no implementations, and take no vendor commissions. There is no product we would prefer you to buy.
What kinds of systems does this cover?
One core business system per engagement — finance and accounting, ERP, transport and logistics, CRM, HR, or warehouse management. Additional sites, domains and stakeholder groups can be added to any level.
What does it cost?
A fixed price, quoted after the first conversation, at one of three published levels. Fixed means fixed: if the work takes longer than we thought, that is our problem, not yours. And if we find nothing worth acting on, there is no fee at all.
How long does it take?
We commit to the outcome rather than to a calendar. How quickly we get there depends on access to your people and the pace of your decisions, both of which are yours to set.
What is not included?
Implementation, configuration, data migration and system administration. Project management once the vendor starts. Software licenses and any third-party cost. Legal review of what you sign.
We already have a shortlist. Is it too late?
No, and it is a common starting point. A shortlist built from vendor conversations is still worth testing against what the business actually needs. If the shortlist changes along the way, there is no re-scoping fee.
Nobody is paying us to recommend anything
Independence is not a positioning line here. It is the business model.
No commissions
We resell no software and take no referral fees. There is no product we would rather you bought.
No implementation to win
We are not bidding on the build. Nothing about your decision changes what we earn.
On your floor, not from a library
Research firms run this remotely from vendor profiles. We run it from where the work happens, with the people who do it.
Start with a conversation
A Fit Finder is only worth anything before you sign. Once the contract is executed, the requirements, the leverage and the trade-offs are all settled — whether or not anyone decided them on purpose.
Tell us what is being replaced and who it touches. We will say honestly whether a Fit Finder is proportionate to the decision in front of you.
